Privacy Notice

1. Scope

This notice describes how High Tide Logistics LLC (“High Tide,” “we”) handles information in connection with the Carrier Portal (the “Portal”). The Portal is a business-to-business tool for personnel of High Tide’s authorized motor-carrier partners (dispatchers, drivers’ back-office staff, and similar). It is not a consumer service and is not directed to the general public or to children.

“Personal information” here means information that identifies a specific individual Portal user, such as a name and work email — not load or freight data.

2. What we collect

You give us (via your organization’s invitation and account):

  • Identity and account data — name, work email address, and the carrier organization you belong to. Account sign-in and identity are handled by our authentication provider; we receive your name, email, and account/organization identifiers from it.
  • Activity you create in the Portal — the offers you submit (your proposed rate and any notes), and the records of loads and bids tied to your carrier account.

We collect automatically:

  • Technical and security data — IP address, browser/device information, and request logs, used to operate the Portal, enforce rate limits, and detect abuse.
  • Product-usage analytics — which pages and actions are used, so we can improve the Portal. Analytics events are tied to an internal user identifier, not to your email address.
  • Error and performance diagnostics — when something breaks. Diagnostic reports are scrubbed of request bodies, cookies, and email addresses before they are sent to our monitoring tool.

We send you:

  • Operational email — for example, confirmation that an offer was received and notice when High Tide decides on it, and responses to access requests.

We do not ask for or intend to collect sensitive personal information through the Portal, and we do not knowingly collect information from anyone under 18.

3. What we do not show carriers

Because of how High Tide brokers freight, the Portal is built to withhold customer-identifying and sensitive load detail from carriers — customer/shipper/receiver names, exact addresses, facility names, contact names and phone numbers, purchase-order and reference numbers, and item-level cargo detail are not displayed. This is a deliberate design constraint, not just policy.

4. How we use information

  • To operate the Portal and your account, and to authenticate you.
  • To process and route your offers, and to communicate High Tide’s decisions.
  • To keep an audit record of actions taken through the Portal (who submitted what, and when) for security, dispute resolution, and recordkeeping.
  • To secure the Portal — rate limiting, abuse prevention, and debugging.
  • To understand and improve how the Portal is used.
  • To comply with legal obligations and enforce our Terms of Use and the Broker–Carrier Agreement.

5. How information is shared

We share information only as needed to run the Portal:

  • Service providers / subprocessors acting on our behalf, by category: authentication and identity, application hosting, database hosting, transactional email, error monitoring, product analytics, and rate-limiting/abuse-prevention infrastructure. These providers are bound to use the data only to provide their service. A current list of named subprocessors is available on request.
  • Within High Tide’s systems— Portal activity is recorded in High Tide’s transportation management system (the system of record) and related internal tools, used by High Tide operations staff to run the freight business.
  • Legal and safety — when required by law, legal process, or to protect the rights, property, or safety of High Tide, our customers, or others.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

6. Retention

We retain information for different periods depending on its type:

  • Offer, load, and bid activity, and audit logs (records of who submitted what, and when) — at least 3 years from the transaction, or longer as required by the Broker–Carrier Agreement or applicable law. This reflects the federal broker-recordkeeping requirement that applies to High Tide.
  • Account and identity data — for as long as your organization has Portal access, plus up to 12 months after your access ends, after which it is deleted unless still needed for an audit, dispute-resolution, legal, or recordkeeping purpose.
  • Technical and security logs (IP address, request logs) — up to 90 days.
  • Product-usage analytics — up to 25 months, after which it is deleted or aggregated/anonymized.
  • Error and performance diagnostics — up to 90 days.

Where a legal hold, dispute, or a longer obligation under the Broker–Carrier Agreement applies, we keep the relevant information for as long as needed for that purpose.

7. Security

We use reasonable technical and organizational measures to protect information, including encryption in transit, access controls and least-privilege access to the underlying records, scoping of every data read to the requesting carrier’s own account, and scrubbing of sensitive fields from diagnostics. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Data location

The Portal and its providers process data in the United States.

9. Your choices and rights

  • Access and correction — you can review and update basic account information through your account, or by contacting us at the address below.
  • Operational email — confirmations and decision notices about your offers are transactional and necessary to use the Portal, so they are not subject to marketing unsubscribe. We will send marketing email, if any, only with an unsubscribe option.
  • Access removal — you or your organization may ask us to remove your Portal access; this is generally handled through your carrier relationship with High Tide.
  • Other privacy rights. Depending on where you live, applicable law may give you additional rights over your personal information, such as to access, correct, delete, or restrict its use. To make a request, contact us at the address in Section 12. Because Portal accounts are issued to carrier organizations, we may need to verify your identity and confirm the request through your carrier before acting on it, and we will respond within the time required by applicable law.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you additional rights. This subsection supplements the rest of this notice.

  • Categories we collect. In the last 12 months we have collected these categories of personal information (see Section 2 for detail, and Section 6 for how long we keep each category): identifiers (name, work email, account/organization identifiers, and IP address); internet or network activity (device and browser information, request logs, and product-usage analytics); and commercial information (records of the offers you submit and the bids associated with your carrier account). We collect it from you, from your carrier organization, and automatically as you use the Portal, for the business purposes described in Section 4. We do not collect sensitive personal information through the Portal.
  • How we disclose it. We disclose personal information to service providers for the business purposes described in Sections 4 and 5, and may disclose it for the legal and safety reasons described in Section 5. We do not disclose it to third parties for their own commercial purposes.
  • No sale or sharing. We do not sell your personal information and do not share it for cross-context behavioral advertising (as those terms are defined under California law), and we have not done so in the prior 12 months. Because of this, the rights to opt out of sale or sharing, and to limit the use of sensitive personal information, do not apply.
  • Your rights. Subject to verification and legal limits, you may request to know and access your personal information (including the right to receive a copy in a portable format), delete it, or correct it, and you have the right not to be discriminated against for exercising these rights.
  • How to exercise. Contact us using the email in Section 12. You may use an authorized agent to submit a request on your behalf. Because Portal accounts are issued to carrier organizations, we may need to verify your identity and confirm the request through your carrier before acting on it, and we will respond within the time California law requires.

10. Cookies

The Portal uses cookies that are necessary to keep you signed in and to operate the service, and limited analytics. We do not use advertising cookies.

11. Changes to this notice

We may update this notice from time to time. Material changes will be indicated by updating the version and date above and may be surfaced in the Portal.
